Write emails and add follow-ups to a single email

Write a new email, schedule it for later, undo a send, and add up to three follow-ups that go out in the same thread only if nobody replies.

Updated · 3 min read · 8 steps

Any email you write in Mailpitcher can follow itself up. You write the nudges once. Each one goes out in the same thread after the wait you pick, and stops as soon as the person replies.

To send many emails at once, use a campaign instead.

Before you start

  • Sending needs a paid plan and two-step sign-in. See Two-step sign-in.
  • On the demo mailbox nothing really sends, so it’s a safe place to practise.

Write and send

Step 1: Open a new message

Click New message at the top of the sidebar, or press C. A small window opens at the bottom right. You can have up to three open.

A new message. The buttons along the bottom do the rest.
  1. 1: To: who it's for
  2. 2: Subject
  3. 3: Send, or the arrow for Schedule send
  4. 4: Follow up if no reply
  5. 5: Attach files
  6. 6: Insert a template

Step 2: Fill in To and Subject

Type the address in To. Mailpitcher suggests people you have emailed before. Click Cc Bcc to add more people.

If you have more than one mailbox, pick the sender in From. The signature changes with it.

Step 3: Write the message

Click Aa to show formatting: bold, lists, links and images. Click the paperclip to attach files, or drag them onto the window. If you have templates, the template button puts one in.

Step 4: Send, or schedule it

Click Send. A note at the bottom says Sending… with Undo: click it within a few seconds to take the email back.

To send later, click the small arrow next to Send. Pick Tomorrow morning, Tomorrow afternoon, Monday morning, or Pick date & time….

The arrow next to Send opens Schedule send. Times are in your own time zone.

Add follow-ups

Step 5: Open the follow-up panel

Before you send, click the follow-up button (a clock with an arrow) at the bottom of the window. The panel Follow up if no reply opens with one follow-up ready.

Step 6: Choose the wait and write the nudge

  • If no reply after: pick how many days to wait, from 1 to 30.
  • Type the follow-up in the box below. Keep it short. Your first email is quoted under it automatically.
  • Click Add another follow-up for a second or third. Each waits after the one before it.
  • Click Done to close the panel. The button shows how many follow-ups you added.
The follow-up panel. Up to 3 follow-ups, each sent in the same thread only if nobody has replied.
  1. 1: How long to wait
  2. 2: What the follow-up says
  3. 3: Add another follow-up

Step 7: Send as usual

Click Send. The first email goes now (or at the time you scheduled). Follow-ups wait in Scheduled.

Check or stop what’s waiting

Step 8: Open Scheduled

Click Scheduled in the sidebar. You see every email waiting to go out:

  • A scheduled email shows Sends and the time. Click Send now to send it at once, or Edit to change it.
  • A follow-up shows If no reply, and the time. Click Stop to cancel it and any follow-ups after it.

If the person replies, their follow-ups disappear by themselves.

Scheduled shows everything waiting to go out, follow-ups included. Right after you send, you get a few seconds to undo.
  1. 1: Send now or Edit a scheduled email
  2. 2: Stop a follow-up (and any after it)
  3. 3: Undo, right after Send

Good to know

  • Follow-ups go from the same mailbox, in the same thread, so they read as a reply to your first email.
  • One email can go to up to 50 people (To, Cc and Bcc together). For more, use a campaign.
  • A message that couldn’t be sent shows Not sent in Scheduled, with the reason and a Retry button.
  • Press Esc to save and close a message. It goes to Drafts. Press Cmd+Return (Ctrl+Enter on Windows) to send.
